Overview
Cadenflow ("we", "us") builds AI-powered customer support automation for e-commerce and service businesses: software that drafts and, with human approval, sends replies to customer messages on our clients' behalf. This policy covers two things: data collected through this website, and data processed by the software we operate for clients.
Data collected through this website
This site does not run its own contact form. If you book a call via Cal.com or email us directly, we receive whatever you submit through those channels (name, email, and the content of your message) — governed by Cal.com's own privacy policy for the booking flow, and used by us only to respond to your inquiry. We do not run third-party advertising trackers on this site.
Data processed on behalf of clients
When a business engages Cadenflow, we operate a support-automation service on their behalf. Depending on the channels that business uses, this can include messages sent through Instagram Direct, email (Gmail or Zoho Mail), or Telegram, plus order data from the business's Shopify store needed to answer support questions accurately.
In that role we act as a data processor, not the data controller: the business we serve owns the relationship with their own customers and is responsible for their own privacy disclosures. We process this data solely to classify incoming messages, draft replies, and — after a human on the client's team approves — send the reply or apply an order update the customer requested (such as correcting a shipping address). We do not use this data to train models, sell it, or use it for advertising, and access is limited to what the automation needs to do its job.
Third-party services we rely on
Depending on the client and channel, our software calls: the Meta Graph API (Instagram messaging), Google (Gmail), Zoho Mail, the Telegram Bot API (operator notifications and approvals), Shopify's Admin API (order lookups and updates), Notion (audit logging), and Anthropic's Claude API (drafting replies). Each provider processes data under its own terms; we configure these integrations to request only the access each feature needs.
Data retention and deletion
Message and order data processed for a client is retained only as long as needed to provide the support-automation service and to satisfy the client's own record-keeping needs. Where a messaging platform notifies us that a message was deleted at the source (for example, an Instagram message-deletion webhook), we remove our stored copy of that message. To request deletion of data related to a specific conversation, contact us using the details below along with the business you interacted with.
Your rights
You can ask us what data we hold about you, request a copy of it, or ask us to delete it, by emailing us at the address below. If your message was sent to one of our clients' support inboxes, we may direct your request to that business, since they control the underlying customer relationship.

We'll update this page if what we collect or how we use it changes materially. The date below reflects the last update.
